DOCUMENT PROPERTIES

Check PDF title and author metadata before sharing

Understand the difference between a PDF filename and document properties, edit title or author fields, and know what metadata cleanup does not remove.

A PDF has more than the filename you can see

A file called report-final.pdf can still contain an internal title, author, subject and keywords. Some PDF viewers use the internal title in a browser tab or properties panel, while the operating system continues to show the filename. That can make two copies appear inconsistent even when both refer to the same document.

Know which fields this tool handles

FieldTypical purposeVisible on the page?
TitleDocument-level title for viewers and catalogsUsually no
AuthorCreator or responsible author fieldUsually no
SubjectShort description of the documentUsually no
KeywordsDescriptive terms stored in propertiesUsually no

Changing these properties does not rewrite a heading printed on the PDF page. If the visible page itself says an old title, that is page content and requires a different editing workflow.

Use a meaningful title when a recipient may see properties

For an application bundle, a title such as “Application bundle” is more useful than a leftover editor template name. For an internal draft, you may prefer a neutral title. The right choice depends on the document and its recipient; the important step is to look rather than assume the filename tells the whole story.

Clearing selected properties is not full anonymization

The Clear document properties option addresses the fields handled by the tool. A PDF can contain identifying information elsewhere: visible page text, comments, annotations, attachments, embedded images, form values, digital signatures or metadata inside embedded media. Removing title and author fields does not prove that the document contains no personal information.

Check the downloaded copy independently

  1. Open PDF Properties and choose your file.
  2. Review title, author, subject and keywords.
  3. Edit the fields you want to keep, or choose the clear option when appropriate.
  4. Create and download the new PDF.
  5. Open the downloaded copy in a PDF viewer and inspect its document properties.
  6. If an old title still appears in a browser tab, close the old preview and reopen the downloaded file to avoid confusing a cached tab with the new copy.

Be cautious with signed or controlled documents

A digitally signed document or a file managed under a formal records process may need to remain byte-for-byte unchanged. Editing properties creates a modified file. Keep the original and follow the receiving organization's rules when signatures, audit history or controlled records matter.

Filename, properties and page content are separate layers

Renaming a file in your device does not edit its internal title. Editing the internal title does not rename the file. Neither action changes words visibly printed on the page. Thinking of these as three separate layers prevents many “I changed it, but I still see the old name” problems.

Verified example: what changed after clearing properties?

We used a synthetic file with fictional names, ran the clear-properties option, then reopened the resulting bytes with an independent parser. Compare the filename with the title and author inside the PDF:

FieldBeforeAfter
Filenamesynthetic-export-source.pdfsynthetic-export-source-properties.pdf
Internal titleFictional Atlas - internal draftAbsent
AuthorExample AuthorAbsent
Size in bytes23,71621,990

The fictional name and title printed on the page are still there. Extracted text matched, and the before/after page renders were pixel-identical at 108 DPI. The download filename gained the -properties suffix; clearing internal fields does not automatically give the file a neutral name.

Verification method (12 October 2026): the same PDF Properties engine shipped with the site ran offline in Node with clearMetadata, rather than through the site interface. After reopening the output, pypdf confirmed no Info dictionary or catalog Metadata entry in this sample. Poppler was used for the visual comparison. This checks this sample only; it does not prove removal of hidden data, attachments, comments or identifying content from other PDFs, and is not comprehensive security sanitization.

Practice with a synthetic file

Use the sample below to explore the properties panel without exposing a real document. After saving a changed copy, compare the filename and the internal title in your viewer.
